Either way the request stays provisional until the strata confirms the date is free under the building bylaws. Book two to four weeks out, longer for a June to August move. Then have your mover send the strata a certificate of insurance days before the truck shows up. That one page is what people forget, and it is the most common reason a condo move gets stopped in the lobby.
Booking the elevator, in six steps
- Read your strata bylaws. The move section names who books, the hours, the fee and the deposit.
- Call or email that contact the day you get your key date.
- Fill out the move form. Unit number, strata plan, owner or tenant, date and time.
- Pay the move fee and the damage deposit.
- Have your mover send the insurance certificate to the strata days ahead.
- Get the window in writing, then book the movers.
Who actually books the elevator in a Surrey building
It depends who runs your building, so start with the bylaws. FirstService Residential BC says they hold the booking procedure, the allowed hours, the elevator contact, the fee and any deposit.
A concierge or an on-site caretaker
The newer City Centre and King George Hub stock. FirstService Residential runs in-house building manager, caretaking and concierge services across Surrey high-rise, lowrise and townhome communities. A staffed lobby desk owns the elevator calendar and can usually answer the same week.
A property management firm
The common Surrey case. The form is a request, not a confirmation. Quay Pacific says so on its own booking page: all requests are pending until the strata confirms the date is available as per the building bylaws.
A self-managed strata council
Older Cloverdale, Newton and Fleetwood lowrises often have no manager. You are emailing a volunteer, so double the lead time. Renting? Your landlord owes you the current bylaws and rules plus Form K, and files a signed copy with the strata within two weeks of the tenancy starting, per the Province of BC.
How far ahead you need to book
Two to four weeks is the working number, and June through August fills first, per the Evergreen Movers strata guide. Two Small Men With Big Hearts puts the hard minimum at 7 to 14 days. The part most guides skip: the elevator, not the mover, decides your move date. Lock it first. We run seven days a week. Plenty of Surrey buildings do not.
What your strata will ask you for
The move form
Quay Pacific’s live form asks for your name, email, strata unit number, building address, strata plan, owner or tenant, move in or move out, and the date and time.
The certificate of insurance
A certificate of insurance, or COI, is one page from your mover’s insurer naming the strata corporation as additionally insured for your move date. Surrey stratas commonly ask for $2 million in commercial general liability, up to $5 million at higher end buildings, per Get Movers. The mover sends it to the strata manager 48 to 72 hours ahead, and it costs you nothing. Without it the crew gets turned away at the door.
The fee and the deposit
This money is the strata’s, never ours. Evergreen Movers reports non-refundable move admin fees of $50 to $150, with refundable damage deposits of $200 to $500.
A Surrey page ranking for this gets it wrong. There is no $200 cap on move fees in the Strata Property Regulation. Section 6.9 allows a user fee only if the amount is reasonable and set out in a bylaw or a ratified rule, and a March 2018 amendment lets it be fixed or based on duration of use, per CHOA Bulletin 700-008.
The $200 people quote is the maximum fine for a bylaw contravention under section 7.1, per Clicklaw Wikibooks, which also notes BC courts struck a move-in fee where no common property was used, in Strata Plan LMS 3883 v De Vuyst. Ask for the bylaw number when you pay.
Move hours and how long a slot really is
Weekdays 9:00am to 5:00pm is the norm, Saturdays shorter, Sundays and statutory holidays usually barred, per Evergreen Movers. Most buildings hand you a three to four hour block, and newer towers program that window into your fob, per Professional Mover. The block is why a crew loads backwards. Big awkward pieces first, boxes last, because boxes can stair carry if the clock beats us.

What changes in a Surrey tower
City Centre and Whalley
Whalley holds the largest concentration of high-rises south of the Fraser River, per Wikipedia. 3 Civic Plaza at 10347 City Parkway is the tallest building in Surrey, a Century Group mix of homes, offices, a hotel and a KPU campus. King George Hub, five PCI phases at King George Boulevard and Fraser Highway, adds the 401 home Tether tower. Hundreds of suites, one service car, so Surrey City Centre dates go early.

Guildford is going high-rise
Vivere by Solterra will be the first 20 storey residential high-rise in North Guildford, 175 condos at 152 St and Guildford Drive, done late 2027, per rew.ca. New tower, new bylaws, new process, so in Guildford ask twice and get it in writing.
Lowrises and townhomes with no service elevator
Cloverdale, Clayton Heights and Sullivan are mostly townhomes and walk-ups. Same bylaws, different problem. You are not booking a car, you are booking a parking stall, a loading zone and a stair plan.
Where the truck goes while your elevator is booked
The half of the question nobody answers. A moving truck does not fit most residential parkades, so plan on an at-grade loading bay or a legal curb spot. Some buildings restrict loading bay hours and want approval outside them, per Professional Mover. Check the signs on your block, ask about the loading zone, and we sort the parking plan when we book.

How the hours get billed once the window is set
Our pricing is time-based. You pay for the actual hours worked, billed in 30 minute increments after the minimum charge, broken down before move day. Never a flat-rate quote. A reserved, padded, empty car is the biggest lever on how many hours the job takes. That is the honest reason to book early. The shape of the math: crew size multiplied by hours on site, plus travel, plus whatever the building adds.
